What is Map Change Detection? #
Periodically, UDig NY updates our street map database that is used to find and display addresses on the map. This is necessary to incorporate new and corrected streets so that we are using the most accurate location information possible when creating locate requests.
What does this mean? #
Map Change Detection will create recommendations for affected Service Area contacts will need to review during the review period. Recommendations consist of new streets, address range changes, and movement of street on map.
It is important to review the recommendations during the review period, especially if you have used streets and addresses as references to define the location of your buried infrastructure in your service area registration map, as the Map Change Detection recommendations (changes) could impact notifications to your Service Area.
Exactix process of updating the street map database #
- Exactix compares the current streets to the new streets to identify those that have moved and/or have changed names or address numbers.
- It then analyzes those changes against all Service Area registration maps and attempts to identify which changes impact each Service Area. For each change, recommendation areas are built that we believe should be added to the Service Area registration map to ensure that it continues to be notified for the same locations.
- Service Area contacts responsible for maintaining the registration map are then sent a notice and are given an opportunity to review these recommendations. During this review period, you need to either Approve or Reject these recommendations.
- Once the review period has ended, the new land base is made live, and all Approved recommendations are applied and activated. Additionally, any recommendations left in an Unreviewed state will also be applied, expanding your Service Area registration map by creating a new registration version.
Instructions for reviewing the recommendations #
Members whose Service Area registration map is impacted by the updates to the street map database will receive an email with the subject line, Upcoming Street database changes impacting Service Area “Name” at UDig NY. The email will come from [email protected].
This notification explains how many recommendations will impact your Service Area Registration map. If not approved or rejected, these changes will be added to your Service Area Map. You will only receive these notifications if your Service Area is affected. These notifications are sent to all Service Area contacts that have a login setup in Exactix and a contact type of Mapping or Service Area Manager.
Once you receive this notification, log in to Exactix with your username and password.

Using the Exactix interface #



The Service Area Profile will open. This is where you can find the details UDig NY has listed for your Service Area. UDig NY does a Member Profile review and update annually. Currently, if there are changes to be made to any of the details click on the Verify Profile button located on the Basic tab within your Service Area Profile.
The Service Area Registration Map and Map Change Detection details are listed under the Registrations tab. You can find the Registrations tab on the far-right side of all the tabs going across the top of the profile (it is to the right of Ticket Assignments). If you do not see the Registrations tab, click on the arrow located on the right end of tabs (usually on top of Ticket Assignments):


Reviewing Proposed Changes #



This will open the Service Area Registration map and will include your existing Service Area along with all the recommendations:

The area in Red is your current Service Area

The image below identifies Segments. Segments are what has been added with the new map data. You will need to zoom in to the map to see the segments.

When you view the list of recommendations it automatically defaults to checking/showing the Status (e.g., Unreviewed, Approved, and Rejected. As you start to review and either approve or reject the recommended changes, then those Status numbers will change:

Below the Status section, you will find the list of recommendations that need to be reviewed. Each recommendation is hyperlinked (green and underlined) and will zoom the map to the location of the recommendation:

To review a recommendation, you will need to click on the Street Address that is hyperlinked (not the check box), you will then notice the map has zoomed to the location and shows the recommendation in Blue.

If the Map Feature is selected (turned on) you can hover over the streets where the changes are shown in blue, and the Recommendations are also displayed. The Map Feature is located on top tool bar on the right side and looks like a chat bubble — you can see it in the image below it is green when it’s selected. The Map Feature is a Dialog Box that when you are hovering over an area a dialog box will open with details surrounding the areas. You can see in the image below, when hovering over the blue recommendation the dialog box opened, and you can see what the recommendation is: Example: 1-20 HOCKS LN TO 1-20 HOCKS LN

You can then choose to select one or all the recommendations made for that street (Example: Houcks Ln) and either approve or reject those changes.

In the case that you were going to Approve the recommendations. Once you select Approve, the Status for those recommendations changes to Approved and the map will show those Recommendations in green:

In the case that you were going to Reject the recommendations. Once you select Reject, the Status for those recommendations changes to Rejected and the map will show those Recommendations in yellow:
Examples #
You will need to review each recommendation and either approve (add it your service area registration map) or reject (not add the recommendation to your service area registration map). Repeat the above steps Reviewing, Approving, or Rejecting the recommendations.
The recommendations will be to either extend the buffer for streets that have extended or to update the address ranges listed.


Adjusting a decision #

If you make a mistake, Approving or Rejecting a recommendation, you can turn it back to unreviewed or select the correct action (Approve / Reject) by reselecting the recommendation –clicking on the check box for the recommendation(s) – you will then see that the opposite actions are available for selecting:
Example: Green box shows the status of the recommendation and orange box shows that you can select to Reject or Unreview the recommendation.
Important notes #
Once you have approved or rejected all the recommendations, you have completed your part of Map Change Detection.
PLEASE NOTE: If you do not complete the Map Change Detection (Approve / Reject) by the end of the Map Change Detection Date all the recommendations not approved or rejected will be added to your existing Service Area Registration map to err-on the side of safety.
When the Map Change Detection review process ends the following will happen: Any recommendations that were approved will be added to your existing service area registration map in a new registration version. If you reject any recommendations, they will not appear on your active registration version. If you do not approve or reject the recommendations by the end of the MCD Review process, any unreviewed recommendations with be added to your existing service area registration in a new registration version.
